Your availability calendar determines which dates guests can request for bookings. Manage it from Dashboard → Availability.
Blocking dates manually
Click on any date or drag across a range to block it. Blocked dates appear greyed out and cannot be requested by guests. Use this for personal use of the property, maintenance periods, or any time you want dates kept off the calendar.
Click a blocked date again to unblock it.
Gap between bookings
You can set a minimum number of days that must pass between consecutive bookings — for example, if you set a 2-day gap and one booking ends on Friday, the next booking cannot start before Monday. This gives you time for cleaning and changeover between guests.
Set this in Dashboard → Settings.
How approved bookings affect the calendar
When you approve a booking, all dates within that booking are automatically blocked. They can't be requested by other guests and can't be manually unblocked until the booking is over.
Syncing with other rental platforms
If you list your property on other platforms like Airbnb or Booking.com, you can connect their calendars to PrivateStay so your availability stays in sync. Any dates that are blocked elsewhere will automatically appear as blocked on your PrivateStay calendar too.
Connecting an external calendar
- Go to Dashboard → Import
- Click Add calendar feed
- Paste in the calendar link from the other platform
- Give it a name (e.g. "Airbnb calendar")
- Save
PrivateStay checks connected calendars once a day and updates your availability automatically. You can also trigger a manual refresh from the Import page at any time.
On the Free plan you can connect one external calendar. With Pro, you can connect as many as you need.
Where to find the calendar link on other platforms
- Airbnb: Calendar → Availability settings → Export calendar
- Booking.com: Property → Rooms → iCal
- VRBO / HomeAway: Calendar → Export
Sharing your PrivateStay calendar with other apps
You can also share your PrivateStay calendar with other tools — Google Calendar, Apple Calendar, Airbnb, and others. This lets those apps always show your up-to-date availability.
Your shareable calendar link is in Dashboard → Availability → Export. Copy it and paste it into any calendar app that accepts an external calendar link.
Note
Connected calendars update once a day. If you've just made a big change and want it to show up sooner, go to the Import page and trigger a manual sync.
